Problem

FHI 360's Human Resources team sought assistance to enhance their department's accessibility, including exploring internal branding strategies to cultivate a supportive and nurturing image for employee experiences and company culture. As part of this rebranding initiative, the department was renamed "People and Culture."

Recognizing the need for a more user-friendly experience, efforts focused on revamping the People and Culture pages on the employee intranet. Employees often struggled to locate relevant HR information, leading to frequent support requests and inefficiencies. This confusion stemmed from complex navigation, unclear distinctions between policies for different employee types (U.S.-based, local country, international), and a misalignment between HR's priorities and user needs.

Goal

User interviews revealed a need to prioritize several goals: revamping the People and Culture intranet pages for easier navigation, clarifying content for different employee groups, and reducing support inquiries. Additionally, a new landing page would promote the department's rebranding, educating employees about the name change, while enhancing usability and navigation of the tools and resources provided by People and Culture.

Users viewed all FHI 360 systems as an interconnected experience despite being across different platforms like SharePoint and Workday.

User Insights

Non-U.S. based staff were unaware of resources on the intranet or did not believe it had resources relevant to them, only U.S. based staff.

Process

Proto Persona Workshop

A proto persona workshop aligned People and Culture stakeholders on FHI 360’s intranet users, guiding the selection of staff for user interviews.

User Interviews

We conducted 11 user interviews with employees representing diverse backgrounds, including geography, job roles, management levels, and intranet usage—focusing on new employees, managers, and non-U.S.-based staff.

Design Charrette

During the design charrette, we shared user interview insights with the same stakeholders from the persona workshop. Through brainstorming and ideation exercises, we gathered further feedback on the sitemap and homepage redesign. This fostered stakeholder buy-in and ensured the design met both user and business needs.

Sitemap and Homepage Redesign

Guided by user and stakeholder feedback, we redesigned the sitemap and homepage to streamline navigation and highlight essential information for all FHI 360 employees.

Users arrived to the People and Culture page with intent to find information, rather than browsing.

Navigation was not intuitive for users on the People and Culture intranet site.

Action

The revamped People and Culture intranet features a user-friendly homepage, an intuitive site map, and a clearer content structure. A distinct sub-brand sets apart People and Culture content while aligning with the company's branding, boosting recognition and reinforcing the department's identity. The enhanced layout balances stakeholder priorities, minimizes confusion, and enables employees to efficiently locate the information they require, while remaining easy to maintain within the existing content management system.
